Privacy Policy

About this policy

Strategic Approaches Towards Community Development (SATCD) is a community-based organisation registered in Kenya with the Ministry of Labour and Social Protection, registration number SBU/C/CBO/10574/19. This policy explains how SATCD handles personal information associated with its website, enquiries, volunteering, donations and communications. SATCD is responsible for deciding how that information is used.

Information you provide

When you contact us, we receive your name, email address, message and any other details you choose to share. Volunteer applications may include your location, telephone number, areas of interest, skills, experience and availability. Newsletter subscriptions involve your email address. Donation correspondence may include your name, contact details, amount, transaction reference and proof of payment.

Please do not send passwords, M-Pesa PINs, full payment-card details or unnecessary identity documents. Avoid including information about your health or another person’s private circumstances in a general website form.

Technical information

Our hosting and website services may process technical information such as an IP address, browser information, request times and pages requested to deliver the website, identify errors and protect it from misuse. Embedded services may receive information when they load. See our Cookies Policy for more about these technologies.

Why we use information

We use information to respond to enquiries, assess volunteer interests, coordinate agreed activities, record and acknowledge donations, provide requested updates and protect our website. We also use records when necessary to meet applicable legal and accounting requirements.

Depending on the activity, the legal basis may be your consent, steps needed for an arrangement you request, a legal obligation, or a legitimate interest such as responding to an enquiry or maintaining website security, subject to your rights. Consent to a newsletter is separate from contacting us or applying to volunteer. You may withdraw consent by contacting us; this does not change the lawfulness of earlier processing.

Newsletters and your choices

If you subscribe, your email address is used to send SATCD updates. You may ask to stop these messages at any time by emailing info@satcd.org or using an unsubscribe option provided in a message. Essential correspondence about an enquiry, application or donation is separate from newsletter marketing.

Donations and external services

The website provides donation instructions rather than collecting an M-Pesa PIN or processing a bank transfer itself. Banks, mobile-money providers and any external payment service you choose process payment information under their own terms and privacy notices. Social media, WhatsApp and map services also have their own privacy practices. A link to another service does not transfer your entire SATCD form submission to that service.

Who may receive information

Information may be accessed by authorised SATCD personnel and service providers supporting hosting, email, website maintenance or newsletter delivery, to the extent needed for their work. Information may also be disclosed where required by law or necessary to address a legitimate safeguarding or security concern. Partner status alone does not authorise access to your personal information.

If a service involves processing outside Kenya, applicable requirements for international transfers must be met, including appropriate safeguards or another permitted legal basis.

Photographs and community stories

SATCD uses photographs and stories to explain its community work. These materials should respect the dignity, privacy and safety of the people shown, particularly children. A photograph must not be used to suggest that an identifiable participant has HIV or another personal health condition.

If you appear in a photograph or story and have a concern, contact us with the page link and a description of the image. We will review the concern and consider correction, obscuring identifying details or removal. You do not need to disclose a health condition to raise a concern.

Retention and security

Information should be retained only as long as needed for the purpose for which it was collected, relevant legal obligations and the resolution of disputes. The appropriate period depends on the record: an enquiry, volunteer application and donation record may have different requirements. When information is no longer required, it should be deleted or anonymised.

SATCD seeks to restrict access to people who need it and use appropriate safeguards. No website or transmission method can be guaranteed completely secure. Contact us promptly if you suspect misuse of information shared with SATCD.

Your rights

Under Kenya’s applicable data protection law, you may request information about the use of your data, access to it, correction of inaccurate information, and deletion where applicable. You may also object to processing and withdraw consent where consent is the basis. Other rights, including portability or restriction, may apply depending on the circumstances. These rights are subject to lawful exceptions.

Send requests to info@satcd.org. We may need proportionate information to verify your identity. You may also raise a complaint with Kenya’s Office of the Data Protection Commissioner.

Children’s information

Children and their parents or guardians may contact us about privacy or images. Please avoid sending a child’s sensitive information through a general form. Participation in activities involving children requires appropriate safeguarding arrangements and any consent required by law; merely attending a public event is not blanket consent to every future use of a child’s image.

Contact and changes

Email info@satcd.org, call +254 711 636 418, or write to SATCD, next to Maralal Law Courts, Maralal, Samburu County, Kenya. We may update this policy to reflect changes in the website or our practices. Material changes affecting how information is used will be communicated as appropriate; an update does not replace consent where consent is required.
